This explains what information Ultimate Labs collects in its website and apps (Ultimate Pool-Tech, Ultimate Musician, Ultimate Playback and Ultimate DAW Station), why, and who it is shared with. We don’t sell personal information and we don’t show ads.
This website
When you send the early access or contact form, we receive your name, email, the app you chose and your message, by email, so we can reply. The site does not use advertising or tracking cookies.
Ultimate Pool-Tech
Pool companies use Pool-Tech to run their service. For each company we keep:
- Staff accounts (email and role) and technician profiles.
- The company’s customers: names, service addresses, phone numbers, emails, pool details, gate and access notes, water readings, chemicals used, visit photos, quotes, invoices and payments.
- A technician’s location while they are on their way to a pool and at the stop, so the customer’s “on the way” link can show it. Sharing ends when the visit is finished or the link expires.
- A record of each email sent to a customer, including when it was opened (using a small image in the email) and when the invoice link was opened.
Each company’s information is kept separate and is only visible to that company’s staff and, for their own account, to the customer.
Ultimate Musician, Playback and DAW
- Your account: name, email, phone, roles and an optional photo.
- Your church or team’s services, setlists, songs, assignments, blockout dates and messages.
- Audio and files you upload or send to your team. Stem separation in Ultimate DAW Station runs on your own computer; finished tracks are uploaded only when you send them to your team.
Services we use
We share only what each service needs to do its job:
- Stripe processes card and bank payments. Card and bank numbers go to Stripe, not to us; we keep only a reference and a label like “Visa •••• 4242”.
- Resend delivers our emails.
- Cloudflare and Fly.io host our websites, servers, files and photos in the United States.
- Anthropic powers the optional AI writing helper; it receives only the text the office asks it to help write.
- The U.S. Census Bureau and OpenStreetMap turn service addresses into map locations; the National Weather Service provides weather and storm alerts (it receives no personal information).
- Apple, if you choose Sign in with Apple.
How long we keep it, and your choices
We keep information while the account is active. Visit photos of customers who are archived are deleted after 30 days. Customers can stop announcement emails with the unsubscribe link; service emails about their account continue. You can ask us to see, correct or delete your information at any time through our contact page. If you are a customer of a pool company using Pool-Tech, you can also ask that company directly.
Security
Connections are encrypted, passwords are stored only as secure hashes, sign-in codes expire quickly, and each company’s data is separated. No system is perfect; if something goes wrong that affects your information, we will tell you.
Children
Our apps are not meant for children under 13, and we don’t knowingly collect their information.
